Cancellation & Refund Policy

At Loading Trips, we strive to offer transparent and fair policies to ensure clarity for our clients. This Cancellation & Refund Policy outlines the terms applicable to tour packages, hotel bookings, transportation services, and visa-related services.

By confirming a booking with Loading Trips, you agree to the terms mentioned below.

1. General Cancellation Policy

All cancellation requests must be submitted in writing via email or WhatsApp. The date of receipt of the written request will be considered as the official cancellation date.

Cancellation charges are determined based on:

  • Date of cancellation
  • Nature of services booked
  • Supplier (hotel / airline / transport / cruise) policies

2. Tour Packages & Hotel Bookings

More than 30 days prior25% of total package cost
15 to 30 days prior50% of total package cost
7 to 14 days prior75% of total package cost
Less than 7 days prior / No Show100% of total package cost

Note: Certain hotels, resorts, or peak-season bookings may be non-refundable as per supplier policy.

3. Flight, Cruise & Transport Services

  • Airline, ferry, and cruise tickets are governed strictly by the respective carrier’s cancellation policy.
  • Refunds (if applicable) will be processed after deducting airline/cruise cancellation charges and service fees.
  • Some discounted or promotional fares may be completely non-refundable.

4. Visa Services

Visa fees, embassy fees, and service charges are non-refundable once the application process has begun.

Rejection, delay, or non-issuance of visa by an embassy/consulate is beyond the control of Loading Trips. No refunds will be provided for visa rejection, incomplete documents, or change of travel plans.

5. Special Services & Add-ons

The following services are non-refundable once confirmed:

Candle light dinners
Honeymoon decorations
Adventure activities
Snorkeling / scuba diving
Permits and entry tickets
Peak season bookings

6. Cancellation Due to Force Majeure

In case of events beyond control (Natural calamities, weather, government restrictions, etc.), refunds will be processed strictly as per supplier policies. Loading Trips will not be liable for any losses arising due to such circumstances.

7. Amendments & Date Changes

Any change in travel dates, hotel names, or services is subject to availability. Revised pricing and amendment charges may apply, and approval depends on supplier confirmation.

8. Refund Processing Timeline

7–14 working days

  • Processed after receiving confirmation from providers
  • Made through the original mode of payment
  • Bank or payment gateway charges may be deducted

9. Company Rights

Loading Trips reserves the right to cancel or modify any booking due to unavoidable circumstances. In such cases, suitable alternatives or refunds will be offered as per supplier terms.
